- List every app you plan to keep. Include email, reviews, loyalty and subscriptions where relevant.
- Check whether order fees apply to every store order or only some orders. This worksheet uses the same monthly order count for every app; use it only when that matches the quotes.
- Enter pre-tax fees in one currency. Separate one-time setup from recurring charges. Do not paste account details or invoices.
Use a normal month, then calculate again with a busier month. These scenarios do not forecast demand.
A worked example
Fictional prices, not provider offers. At 100 orders a month, one app costs $10 plus $0.02 per order and $5 setup. Another costs $20 plus $0.01 per order with no setup fee.
Fixed fees are $30, order charges are $3, and recurring cost is $33 per month. The first month costs $38. Repeating the same month for a year, with setup paid once, totals $401. Recurring cost per order is $0.33.

What to do with the total
- If the total is comfortable and the apps serve distinct needs, keeping the stack can be reasonable.
- For overlapping functions, check which workflows and integrations would actually be lost before removing an app.
- If email is the item you want to replace, compare migration fees, overlapping subscriptions and the contribution from orders that could be lost. This worksheet alone does not show whether switching pays.

Method and limits
Recurring monthly cost = fixed monthly fees + (per-order fees × the entered order count), summed across apps. First month adds setup once. First-year projection repeats the recurring month 12 times and adds setup once.
Cost per order rounds up to the smallest currency unit and is unavailable when there are no orders. Other totals use exact integer minor units. Empty app rows removed from the worksheet mean no app fees entered, not that operating a store is free.
Annual prepayments, pricing tiers, changing usage, foreign exchange, tax, percentage-of-sales fees, refunds and cancellation terms are outside this model. Do not force those quotes into a flat monthly fee. No provider suitability, sales increase or savings is verified.
Common questions
Can I use an annual app price divided by 12?
Only as a recurring cost approximation that you clearly label for yourself. This worksheet does not represent the timing or commitment of annual invoices. Use actual cash-flow planning before committing.
Does a lower total mean I should switch?
No. Feature coverage, integration effort and lost workflows can matter more than subscription cost. Keeping a working app may be the better outcome.
Does this recommend a particular app?
No. Every price is supplied by you or the fictional example. There are no provider rankings, affiliate links or purchase buttons here.
